Airfare Purchased on T&E Card:
The preferred method of payment is booking through Concur using Direct Bill. A T&E Card should not be used to pay for airfare. In the event of trip cancelation, when a T&E Card is used, an airfare credit for future travel is issued directly to the traveler, not the original method of payment and the university has no way to travel these credits to ensure it is used for university business. Additionally, airfare purchased on a T&E Card cannot be processed through Concur until after travel occurs which could result in late fees being applied to the account.
Reimbursement of out-of-pocket and T&E Card expenses before travel:
Out-of-pocket expenses related to university buisness travel will not be reimbursed before travel occurs. T&E Card charges for conference registrations, lodging, and lodging deposits may be reimbursed before travel occures.
