There is an important update to the car rental booking process in Concur that will affect both employee and guest reservations. Please review the new requirements below to ensure a smooth booking experience.
Credit Card Required to Hold Reservations
All car rental reservations made in Concur will now require a credit card to hold the booking:
- Employees: A credit card must be added to your Concur profile. You may use either your personal credit card or your T&E (Travel & Expense) card. During the booking process, you will be required to select a card to secure the reservation.
- Guest Bookings: When booking a car rental for a guest, the employee making the reservation may use their T&E card to hold the reservation.
Payment at Time of Pickup
Regardless of who makes the reservation, a physical credit card must be presented at the rental car counter at the time of pickup. The rental car company will use the card presented at pickup for payment of the rental.
Booking Fees
A $5.00 agency fee will be charged to the credit card on file for car rental reservations (as well as lodging reservations when booked without airfare).
- These fees function similarly to airfare agency fees.
- The charge must be assigned to an expense report in Concur and processed accordingly.

- Ensure your Concur profile includes a valid credit card.
- Be prepared to select a credit card when booking car rentals.
- Remember to expense applicable booking fees in Concur.
